We are looking for a Project Assistant to support several key departments by coordinating project administration, reporting, contract follow-up, and organisational activities within an international technical environment.

Tasks & responsibilities:
- Support the administration of Product Development, New Technologies, Legal, and commercial technology-related departments.
- Organise and monitor project administration, including project progress, time recording, and R&D activity records.
- Support European project administration by collecting financial information, preparing financial statements, and coordinating with project participants.
- Prepare and consolidate monthly KPI reports on innovation, covering initiatives, costs, hours, and planning.
- Support the Legal department with secretarial activities, filing, and follow-up of contract legalisation processes.
- Help structure the interface between R&D and Legal to improve service continuity and information flow.
- Maintain departmental tools, procedures, and historical databases.
- Support the organisation of customer events and conferences, and the initiation of commercial contracts.
- Coordinate with internal stakeholders such as Finance, Tax, Engineering, Innovation, Product Development, New Technologies, and Cost Control.
- Ensure work is carried out in line with QHSES requirements, internal procedures, and quality standards.
Requirements Secretary of shared services
- Bachelor's degree.
- Experience or affinity with innovation, technical project administration, or administrative support in an international organisation.
- Strong knowledge of Excel.
- Experience with Power BI is an advantage.
- Proficient in English; Dutch is a plus.
- Strong analytical skills and the ability to structure complex information clearly.
- High level of accuracy and attention to detail.
- Able to collect, process, and organise information from different sources.
- Independent, proactive, and able to manage tasks without constant supervision.
- Team-oriented, quality-conscious, and result-driven.
- Comfortable working with multiple departments and stakeholders in a dynamic environment.
